Default What would you do?

I received the following email last night, and looking for answers to the following questions:

1. Should I allow the use of my images?
2. If I do, what should I ask of them in return?
3. Would any images I allow them to use then be considered as "published", since they would be on a website?

I'm inquiring about access to a photo or two that you have with a focus on the Orlando area. They will be used by the Association for Information Systems' (AIS) International Conference on Information Systems 2012 website. The group is a non-profit academic organization dedicated to the study and creation of information systems technology. As the ICIS conference in 2012 is in Orlando, I've been tasked with pulling together some imagery of the area that we can use on the website to encourage our members to attend. The site is wholly non-commercial and no advertising of any kind will be displayed. I certainly hope that you allow me to use some of the excellent images that I found. Please let me know. I will be happy to identify the source of the files in some way, but I need to discuss this with my professor. (lake Eola at twilight is one that I am definitely interested in)

I appreciate any advice from all you "seasoned veterans", as well as "newbies" (like me) concerning how you would handle this situation.

Being that they mentioned non-profit, non-commercial, they probably want them for free...my answer would be NO..discuss price first, then the rest of the gory details such as rights usage and what not..

Yea, I worked (still do) for a few non-profits and I tried to use that "we are non-profit" line slipped in every chance I got to get deals... Problem is...


it works!! People think we are broke (which isn't always a lie!) and give use good deals on stuff

Check out the non profit and see what they have in assets etc. and then base your fees on that.
Or if you are looking for exposure and more sales then cut a deal.

I've done work for non profits too..
They have money, but have a sense of entitlement whereby they believe they are doing you a favour by paying you.

Tell them how much you want and define limitations of use.

Thank you all for your responses. I'm really new at this, so not sure about a few things.

What do y'all think would be a "fair" price to begin negotiations with? I'm thinking this would be a case of "one time use rights" . . . . does that seem reasonable?

I work for a non-profit arts organization and although we have money, ticket sales only pay for about 45 percent of the cost of putting on a production. Yes, we have mega donors and all. But our salaries are not as high as in the for-profit sector and although we DO pay for services, including plenty of photography (too bad I can't get paid by them for that!) we usually get a lower rate. Same with advertising - we pay a lower rate than the for-profit sector. There is money to be made - don't give it away. I'd always give a non-profit a break - but not free services (unless you're making an in-kind donation for an organization you care about).
