I am sure if you go by and explain that you are the photog for the event they will let you have a look-see at the room where it will be held.

A shoot through brolley will have a slight advantage in that they will spill a little bit of light, which will help light the background.

You should be able to manage with your shoot through brolleys. A softbox should give a slightly better quality of light for portraits, but I don't think you'd need it. Umbrellas are also a lot quicker and easier to set up and put away.

However, I would think having a softbox in your arsenal of tools worthwhile - you can get reasonable quality ones for not great amounts of money. I don't think they're worth hiring either, unless you need a huge one for some reason.

alright, tomorrows my big day here in Brussels. I went and checked out the place on Wednesday. Pretty cool place but nothing too exciting in terms of spots to do the portraits. I am going to spend some time tonight with some stand ins and fake flags for back drops. I am pretty nervous but I think I will be fine. Thanks for all the help.
